Overview

The nominated Energy Sparks champion for the school will be sent a welcome email. This includes a link to our account setup process.

This process involves completing the following steps:

  1. Create your school administrator account
  2. Add school details
  3. Grant consent to collect, store, analyse and publish your school's energy data
  4. Add any additional school staff user accounts
  5. Create a pupil account

At any time, if you need to gather further information then, you can save your progress and return to it later using the link in your welcome email.

To complete the account set-up, you will need authority to give consent for your school’s energy data to be obtained by Energy Sparks and published on the Energy Sparks website. For this reason, the initial account set up is usually completed by a member of the school leadership team, such as the school business manager or the school’s sustainability lead.

Creating a school admin account

As Energy Sparks champion, you will receive a welcome email asking you to set up your school on Energy Sparks. The first step is to create your administrator account, which will allow you to manage your school on Energy Sparks.

To get started, please click on the link in your email; you will then be asked to:

  • Confirm that you agree with Energy Sparks’ Terms and Conditions and Privacy Policy.
  • Set a password with at least 12 characters.

Note: You can use an existing administrator account if you have one for another school (e.g. if you are a Multi-Academy Trust group administrator).

Adding school details

We need to know some basic information about your school to help analyse and present your data. During the setup process we will ask you to provide the following details:

  • School name
  • Your school’s unique reference number (URN in England and Wales, SEED code in Scotland).
    • Schools in England and Wales can find their URN from the Find Information About Schools service
    • Schools in Scotland can find their SEED code here.
  • School address, location and website
  • School type
  • Stage of education
  • Key stages
  • Floor area in square metres
  • Number of pupils
  • Percentage of pupils receiving free school meals
  • Type of heating system
  • Other details, including whether your school has solar PV panels, night storage heaters, its own swimming pool or if it serves school dinners on site.

If you need time to gather this information, you can save your form and return to it later using the link in your welcome email.

Note: you can also update your school’s details once your account has been set up. But we require some basic details to be provided during setup of your account.

Granting consent

To finish setting up your school on Energy Sparks, you will be asked to give consent for your school’s current and historical energy and tariff data to be obtained, stored and published by Energy Sparks on our website.

This consent is required for us to be able to provide Energy Sparks services to your school. You can learn more about what consent we need here.

You will also need to agree to our Terms and Conditions on behalf of your school.

Please ensure that you have the delegated authority to provide this consent on behalf of your school.

You can withdraw consent and ask for your school’s data to be removed from Energy Sparks at any time. The procedure for doing this is explained in the Terms and Conditions.

Adding additional users

You can add any number of additional admin or staff accounts for the adult users at your school. We recommend that every school has at least three staff users including a member of your school’s leadership team, an estates manager and an eco-team lead.

You will have an opportunity to do this as part of the school set up process. You can also continue to add new users at a later date.

Once you have finished setting up your school on Energy Sparks, any additional users will be sent an email asking them to register. Once they have completed the registration form and confirmed their account, each user will be able to log into Energy Sparks using their own account to see the school’s data. Users can manage their own preferences, including newsletter subscriptions and subscribe to weekly alerts.

Creating a pupil account

Pupil accounts allow your students to log into Energy Sparks using only a password. No email address is required.

We encourage schools to add a pupil account so that your students can explore Energy Sparks data, insights and activities - for example, during lessons or as part of eco-team activities.

You will be offered a chance to add a pupil account as part of the school set up process. You can also create additional pupil accounts at a later date.

What happens next?

Once you have completed your school’s account set up, you will receive access to a basic version of your Energy Sparks account so that you can start recording completed pupil energy saving activities and adult-led actions.

The Energy Sparks team will request your school’s energy data from your energy suppliers or meter operators, and will add the available historic data to your account. During this process we will let you know if there are any problems with your meters.

Once we have reliable energy data for at least one utility (gas or electricity), you will receive an email notifying you and any other registered users that your energy data is now visible on your account.

We recommend you look at our tips for getting started and ways to engage your school community.
